Presentation Instructions

Posters

The upper size limit for posters is 1m x 1m (40" x 40"), with a width of 91 cm (36") or less preferred. The author of each poster will give a one-minute, one-viewgraph oral introduction as part of the appropriate topical session (see the list of papers to to locate your presentation and assigned paper number). Please prepare a viewgraph and a brief introduction that will highlight the interesting aspects of your paper. Tips:

  • You do not need to explain your work or even summarize the results -- just be sure that everyone who should be interested knows why.
  • Don't try to put too much on the viewgraph, but do include your assigned paper number (not the abstract confirmation number) at the top.

All posters will remain on display for the duration of the Workshop. If you need horizontal space by your poster for a laptop or other display, please contact the local organizing committee at ltd-9@wisp.physics.wisc.edu.

Oral presentations

For oral presentations, an overhead projector and an XGA video projector will be available. Due to past problems with making connections to a variety of laptops, we will have a single laptop server running PowerPoint 2001 and AcrobatReader 4.0 for connection to the projector. Presentations will have to be in one of these formats using only standard fonts, and will be transferred to the server prior to the beginning of the session. Backup transparencies must be in hand. Presentation files can be:

  • brought to conference on CD-ROM or Zip disk (PC or Mac format) or
  • uploaded to FTP server (see below for instructions)

File Submission Instructions

To submit an electronic copy of your presentation file please use the following instructions (remember to bring back-up transparencies as well):

  1. Name your manuscript file using the following convention: last name of first author -dot- the original abstract number as a three-digit number (with leading zeroes if necessary) -dot- one of: ppt (for PowerPoint format) or pdf (for Acrobat), ALL LOWER CASE CHARACTERS. Examples:
    • supanich.021.ppt (for PowerPoint)
    • porter.287.pdf (for Acrobat)
  2. Anonymous ftp to wisp.physics.wisc.edu
  3. cd to ltd-9/presentation/ (Clicking here should get you to the right place.)
  4. You will not be able to see any files in this directory.
  5. Submit your file.
  6. If you wish to change your submission, just upload it again with exactly the same name. The new upload will replace the old file. You may do this through midnight, July 22nd.

Manuscript Instructions

Critical information:

  • Manuscripts are due on or before the first day of the conference (Monday, July 23) at 10:00 A.M.
  • Page limits are four (4) pages for contributed and six (6) pages for invited papers. Papers over the maximum page limit will be rejected as the proceedings volume cannot be extended.
  • AIP (American Institute of Physics) templates for MS Word or LATEX (see below) must be used for all submissions. We cannot process contributions in any other form.
  • A transfer of copyright form must be included with your submission. The form is available here.
  • Please submit three paper copies of your manuscript in camera-ready format for refereeing.
  • Also please submit your contribution in electronic form using one of the following formats:
    • CD-ROM (PC, MAC, RockRidge, or iso9660 format)
    • Floppy disk (PC or Mac format)
    • Zip disk (PC or Mac format)
    • upload to FTP server (instructions are here ).
  • All contributions will be peer reviewed during the conference prior to acceptance into the proceedings.
  • The proceedings will not include color pages.

General Information:

The proceedings will be published by the American Institute of Physics Conference Proceedings Series . The pages will be single column and in 6 x 9" (15.2 x 22.9 cm) format. The volume will be hard bound and will ship to all participants within 3 months of the time we submit the camera ready copy (hopefully this will be shortly after the workshop).

Due to the large number of submissions this year we need everyone's cooperation to make this process go smoothly. Please follow the AIP submissions guidelines given below closely since we do not have the manpower to reprocess anyone's submission.

Submission instructions

Please bring three (3) paper copies of your manuscript to the manuscript submission desk on the first day of the conference. Also please bring a copy in electronic form on a CD, floppy, or zip disk. Also please download and sign the transfer of copyright form and include it with your submission. Please clearly mark the envelope containing your submission with the name of the lead author and the title of the paper.

You must use the AIP templates for Microsoft Word or for LATEX to format your submission and to count your pages. You cannot use standard A4 or 8.5x11" format to count your pages. Here are the instructions for formatting your submission:

Latex Information:

To submit your entry in LaTeX:

  1. Download and unzip the AIP macros and sample .tex file (180 KB).
  2. Install the AIP macros by running TeX on the file aipproc.ins
  3. Make sure you can run TeX on the sample file ltd9-sample.tex. It should produce output that looks like this PostScript file (107 KB).
  4. Replace the content of ltd9-sample.tex with your submission.

The following file is a word .dot document template. You must use the "save link as" or "save target as" feature of your browser to download the file.
